The Financial Aid Rep will be supporting a Financial Aid Office in managing and administering financial aid programs and services. This role is crucial in assisting students and in navigating the financial aid process, ensuring compliance with federal and state regulations, and maintaining accurate financial aid records.


Key Responsibilities:

  •  Assist students, parents, and staff with inquiries regarding financial aid applications, processes, and policies both in person, via phone, and through email.
  •  Help with the processing and verification of financial aid applications, including the Free Application for Federal Student Aid (FAFSA), scholarships, grants, and loans, Title IV and VA certifications.
  • Maintain accurate and up-to-date student financial aid records in the institution’s database, ensuring all documentation is complete and organized.
  •  Ensure compliance with federal, state, and institutional regulations and deadlines. Assist in the preparation of reports and documentation required by regulatory bodies.
  •  Draft and distribute correspondence related to financial aid, such as award letters, notifications of missing documents, and updates on application statuses.
  •  Provide general administrative support to the Financial Aid Office, including filing, scanning, and data entry. Assist with the preparation of financial aid events, workshops, and orientations.
  • Utilize financial aid software and systems for data entry, processing, and reporting. Stay updated on new technologies and tools that enhance financial aid services.


  • High school diploma or equivalent; some college coursework in finance, business, education, or related fields preferred.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent interpersonal and communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with financial aid software or databases is a plus.
  • Attention to detail and a high level of accuracy in data management.
  • Ability to work effectively both independently and as part of a team.
  • Familiarity with federal, state, and institutional financial aid regulations is beneficial.

Working Conditions:

  • Office environment with standard working hours. Occasional evening or weekend hours may be required during peak periods or special events.
  • Interaction with students, faculty, and staff, requiring a high level of professionalism and customer service.
